Business email, backed up and watched

Your own name on your email, set up so your quotes do not land in junk. Every mailbox is backed up every night, and when your mail stops working, we know and we send you a text.

Most email you can buy is a mailbox and nothing else. When it stops, you usually find out from a customer whose quote bounced. When you need something back, the backup turns out to be an extra you never bought, or a job you have to do yourself.

Two options below, and one question tells you which one you are.

When your mail stops, we text you

Most businesses have business email. What they have is email set up once, years ago, and never checked since. When it stops delivering, the first sign is usually a customer asking why you never replied.

We keep watch on your mail. When it stops working, we know, we send you a text, and we fix it. That is the same on both options.

There is no uptime guarantee on either. Nobody who promises you a percentage is going to hand your money back over it. What you get is a text from us, and then the fix.

Backed up every night, on both options

Every mailbox we run is copied every night and kept separately from your email provider, so if something goes wrong at their end, your mail is not gone with it. The cheaper option is not the unprotected one.

On both, we keep a copy from each of the last 30 nights, one from each of the last 12 months, and a yearly copy. Backups are encrypted and stored in the United States.

On Simple Mail the backup is encrypted on the mail server before it leaves, and we have restored from it, so getting your mail back is a job we have done before. On Secure Mail the backup covers your email. Drive files, contacts and calendar are not in it.

Getting something back is charged as support time, usually an hour or two, and we do it. You do not have to work it out from a help page.

The backup covers your mailbox only, not the computer in the office or the photos on your phone. We have written down what to use for those rather than sell it to you: see backing up my business.

The two options

Most trades know which one they are.

Simple Mail — $7 per mailbox, per month

Your own name@yourbusiness on your phone and your laptop, backed up every night, and a human answers when something breaks. Setting it up is $110, once. Each mailbox holds 30 GB. If someone needs more room, a 50 GB mailbox is $14 a month instead of $7.

No two-factor login. That is the main thing you give up at this price; if a stolen password would hurt, take Secure Mail.

It suits a business sending under 100 emails a day. That is a real limit and we would rather tell you than let you find it. If you regularly send more we will move you onto a plan that fits. It is also not the place for newsletters or bulk sending — that goes a different way and we set it up separately.

Simple Mail is a legitimate destination, not a waiting room. Plenty of sole traders should stay on it for years.

Secure Mail — $21 a month, plus $16 for each extra person

Google Workspace, run by us. Two-factor login enforced, and signing in with a password alone switched off. Google’s scam, phishing and virus filtering on every message. 30 GB a mailbox, backed up every night. Calendar, shared drives and video calls come with it.

Setup is $215 if your website is already with us, $325 on its own, plus $83 for each additional person. Moving across takes a couple of days and you keep every old email.

Prices include GST. Invoiced twelve months in advance, minimum twelve-month term.

Spam. Spam filtering is included. To block particular senders, forward us the emails: any number in one request, in place the next business day, $50. On Simple Mail a block covers everyone at the business. No filter catches everything. We’ll show you how to block senders yourself at setup.

The one question that decides it

Would a redirected payment genuinely hurt? If you are sending invoices over about $10,000, that is the line, and you want two-factor login and Google’s scam filtering. If you are a sole trader invoicing a few hundred dollars at a time, Simple Mail is the honest answer and we will tell you so.

The records that stop people impersonating you

SPF, DKIM and DMARC are the technical records that tell the world an email claiming to be from you really is. Without them, anyone can send mail that appears to come from your domain. We set all three on both options and we keep them right. That is the baseline, not an upsell.

On both options the last of the three is set to watch: we get reports of mail sent in your name, and we read them. Neither option blocks forged mail outright. Blocking means first tracking down every app that sends mail as your business, your invoicing and job software included, and getting one wrong means your own invoices stop arriving. For a trade business, watching is the right setting.

Why a Gmail address costs you work

A quote from [email protected] reads as a side hustle, not a business, to a customer comparing three tradies. It is a small thing on any single job and it adds up over a year of quotes. Moving to your own domain is one of the cheapest credibility improvements available, and most of the work is a records change that takes minutes once it is understood.

The scam Secure Mail protects you from

Invoice redirection is how trade businesses lose real money by email, and it does not look like a scam while it is happening.

Someone gets into a mailbox — yours, your bookkeeper’s, or your customer’s — and then waits. They do not send anything. They read, until a genuine invoice goes out. Then they intercept it, change the bank details, and forward it on. Your customer pays a stranger, believes they have paid you, and neither of you finds out until the follow-up call weeks later. The money is almost never recoverable, and the argument about who wears it is worse than the loss.

It is not theoretical and it is not rare. In nine days in May 2026, five attempts landed on our own clients. Four of them got through the filtering those clients were on. That is the entire argument for Secure Mail, and it is why the domain records above are set on every mailbox we run, not just the expensive ones.

Checking the devices and the network is a different job, and the Cyber Posture Review is where we do it.

What’s in the price, and what gets billed

The monthly fee buys a platform that is set up right and stays that way. It does not buy an unlimited support contract, and pretending otherwise is how providers end up either losing money or quietly getting slower to answer.

In the seat: the licence · your mailbox backed up every night · a text from us when your mail stops working · two-factor enforced and password-only sign-in switched off (Secure Mail) · SPF, DKIM and DMARC set and maintained · your DNS managed · a named human who answers the phone.

Billed separately: setting up new devices and phones after you are live · adding or removing people · migrating extra mailboxes · restores · training · anything that has broken and needs fixing · blocking particular senders for you (above). Charged at $165 an hour, or from a support block ($1,188 for eight hours, 12-month expiry), which is the cheaper path if you expect to use it.

We would rather publish that boundary than discover it with you halfway through a job.

What we do not do

We do not promise an inbox with no spam. Nobody can. Spammers change addresses, so blocking works one sender at a time. When we block for you, the $50 can come out of your support block instead. On Simple Mail we block by sender or domain, never by word, because a word rule ends up catching real quotes. Blocked mail goes to your spam folder, not the bin, and if we block the wrong one we fix it free.

Who this suits

Any trade business sending quotes and invoices by email, which is effectively all of them. It particularly suits a business still on a personal Gmail or BigPond address, or one that has business email already but has never had it looked at since it was first set up.

Common questions

Can I keep my current email address? Yes. Moving providers does not mean a new address, and we plan the change so nothing bounces during the switch.

Do I lose my old email when I move? No. Everything comes across.

What if I only need one mailbox? That is the most common case. Simple Mail at $7, or Secure Mail at $21 if the question above says you should be there.

How far back can you get my email? On either option, from any of the last 30 nights, any of the last 12 months, or the yearly copy. Getting it back is charged as support time.

Can I start on Simple Mail and move up? Yes, and most people should. The trigger is hiring someone, or the first invoice big enough that losing it would hurt.

What happens if I cancel within the twelve months? The minimum term reflects the setup work involved in moving a domain properly, and on Secure Mail it matches the annual commitment we make to Google on your behalf. Your domain stays in your name either way, and we will move it wherever you want it.
